Your WhatsApp inbox, inside out

Everything customers send you on WhatsApp lands in one inbox, in order, and your team replies from there, no screenshots passed around. A first tour: what each thing is and where to look first. Who it's for: anyone on your team who's going to handle conversations. Screen: your inbox, which you open from Conversations («Conversaciones») in your panel. Before you start - You need at least one WhatsApp number connected. If you haven't done that yet, see the tutorial on connecting your number. - Your access is created by whoever administers the account. If you can't get in, ask that person before asking us: they can sort it out in a minute. What you see when you go in On the left is the menu. What you'll use almost all the time is this: - My inbox («Mi bandeja de entrada») — only what's yours, what's assigned to you. If you're in a hurry, start here. - Conversations → All («Conversaciones → Todas») — absolutely everything that came in, from every channel. - Conversations → Mentions («Conversaciones → Menciones») — when someone names you in a private note so you'll take a look at something. - Conversations → Unattended («Conversaciones → Desatendido») — the ones nobody has replied to yet. This is the one not to lose sight of. - Contacts («Contactos») — the people who've messaged you, with their card and their history. - Reports («Informes») — how long you take to reply, how many conversations there were, how each agent is doing. In the center is the conversation list, with three tabs at the top: - Mine («Mías») — the ones assigned to you. - Unassigned («Sin asignar») — they came in and nobody has taken them yet. - All («Todos») — the total. If "Unassigned" shows a high and growing number, that's the sign there are people waiting. It's the number to check first every morning. Steps 1. Go in and look at the Unassigned tab. If there are conversations there, someone wrote and nobody answered. 2. Click a conversation to open it. In the center you see the whole back-and-forth with that person. 3. Look at the panel on the right: that's where the card of the person writing to you is, with their phone, their notes and their previous conversations. If you don't see it, press Alt+O and it appears. It stays open for good, no need to repeat it. 4. At the bottom there are two tabs: Reply («Responder»), which reaches the person, and Private note («Nota privada»), which only your team sees. 5. Write and send. That's all. What you see when you're done The conversation moves to your Mine tab and disappears from "Unassigned". When the matter is closed, click Resolve («Resolver») at the top right and it leaves the active list. If the person writes again later, the conversation reopens on its own and shows up again. Nothing gets lost. If something goes wrong - You don't see any conversations: you may not have access to the channel. Whoever administers the account grants it from the channel settings. - You see conversations but can't reply: usually more than 24 hours have passed since that person's last message. WhatsApp doesn't allow replying outside that window except with an approved template. See the templates tutorial. - The panel on the right doesn't appear: Alt+O. - You don't get alerts for new conversations: check your notifications in your profile, at the top right. When to ask 24/7 Support for help If messages come in on WhatsApp but don't appear in the inbox, if a conversation keeps loading without opening, or if you reply and the person doesn't receive it. 24/7 Support: https://whatsappmarketing.zendesk.com/hc/es

Distribute WhatsApp conversations and work as a team

When one person handles WhatsApp there is nothing to distribute. With three, the classic problem appears: two reply to the same conversation and a third goes unanswered. This guide prevents that. Who it's for: whoever administers the account, to set it up; and any agent, for the day-to-day. Screen: your inbox. Before you start - Decide who handles what. If it's two people and everything is the same, assigning conversations to yourself by hand is enough. If there's sales on one side and support on the other, it's worth setting up teams. - Be clear about your service hours. That's what decides what happens to whatever comes in during the night. Steps Take a conversation 1. In the Unassigned («Sin asignar») tab, open the one you want to handle. 2. At the top, where the assignee is shown, pick yourself. 3. Done: it moves to Mine («Mías») and the rest of the team sees it's taken. That's the whole mechanism. The rest is about avoiding having to do it by hand every time. Hand it over to someone else Same assignee box: you pick whoever it should go to. The whole conversation travels with its history, so whoever receives it sees everything that was discussed. Before handing it over, it's worth leaving a private note («nota privada») explaining where things stand. The person receiving it appreciates it, and people outside never see it. Set up teams If you have more than two or three agents, grouping them by responsibility saves arguments. 1. Go to Settings → Teams («Ajustes → Equipos») and create one. For example, Sales and Support. 2. Add the right people. Someone can be in several. 3. When assigning a conversation, you can pick the team instead of the person. Let it distribute itself This is what really changes your day. In each channel's settings you can enable new conversations to be distributed automatically among the agents who are online, in turns. With that, "Unassigned" stops filling up: every conversation that comes in already has an owner. What you see when you're done Every conversation has a visible owner. The Unassigned tab stays close to zero, and in Reports → Agents («Informes → Agentes») you see how much each person handled and how long they took on the first reply. If something goes wrong - You assign to a team and it's left without an owner: the team exists but doesn't have automatic distribution enabled. Enable it or assign to a specific person. - Automatic distribution isn't distributing: it only considers agents who are online. If nobody has marked themselves available, there's no one to assign to. - Two people replied to the same thing: it happens when people work from "All" («Todos») instead of "Mine". Get the team used to taking the conversation before writing. - You can't create teams or change settings: those screens are only for whoever administers the account. When to ask 24/7 Support for help If automatic distribution is enabled and everything still lands in "Unassigned", or if you assign to someone and that person doesn't see it in their inbox. 24/7 Support: https://whatsappmarketing.zendesk.com/hc/es

Labels, notes and quick replies in your WhatsApp inbox

Three small things that, together, save you half the repetitive work in your WhatsApp inbox. None takes more than five minutes to set up, and all three get used every day. Who it's for: whoever administers the account sets them up once; the whole team uses them afterwards. Screen: your inbox, and Settings («Ajustes») to set them up. Before you start Think of the three or four sentences your team types twenty times a week, and the three or four ways of classifying a conversation you'd actually use. That's enough to start. It's better to begin with a few and add more than to fill it with labels nobody uses. Steps Quick replies They're saved texts you insert by typing /. 1. Go to Settings → Canned responses («Ajustes → Respuestas predefinidas») and create one. 2. Give it a short, easy-to-remember shortcut: hello, hours, prices. 3. In the conversation, type / and they appear. Pick one and the text drops in by itself. The ones that are always worth it: the opening greeting, asking for the details you always ask for, your service hours, and the sign-off. You can edit them later and the change applies to the whole team. Nobody has to tell anybody. Labels They're for classifying and, above all, for making the reports say something. Without labels, the reports tell you how many conversations there were but not what people were talking about. 1. Go to Settings → Labels («Ajustes → Etiquetas») and create the ones you're going to use. 2. A minimal set that works: the reason (sale, support, billing) and the status (waiting on the customer, waiting on us). 3. In the conversation, apply the right ones from the panel on the right. Then, in Reports → Labels («Informes → Etiquetas»), you see what people message you about most. That's the information that tells you what to fix in your product or on your website. Private notes In the message box, at the bottom, there are two tabs: Reply («Responder») and Private note («Nota privada»). The private note is only seen by your team. It never goes out. Use it to leave context before handing over a conversation, to flag something sensitive, or to name someone so they take a look. When you name a person in a note, it shows up for them in Conversations → Mentions («Conversaciones → Menciones»). It's the way to ask for help without leaving the conversation. Macros If there's a sequence you always repeat — label, assign and send the same reply — you can save it as a macro and do it in one click. It's in Settings → Macros («Ajustes → Macros»), and it runs from the panel on the right of the conversation. What you see when you're done Your team writes less and faster. Conversations get classified effortlessly. And at the end of the month you have reports that help you decide, not just look. If something goes wrong - You type / and nothing appears: no canned responses have been created yet. They're created in Settings. - You don't see the labels in the conversation: they're in the panel on the right. If you don't see it, Alt+O. - The private note was sent to the customer: you were on the "Reply" tab instead of "Private note". They're easy to mix up at first; always check which one is active before sending. - You can't create labels or replies: those screens are only for whoever administers the account. When to ask 24/7 Support for help If a private note shows up in the customer's conversation, or if the labels you apply aren't reflected in the reports. 24/7 Support: https://whatsappmarketing.zendesk.com/hc/es

When the bot hands the conversation to you

Your AI agent for WhatsApp handles most chats alone, but a person should step in when the customer asks, the topic is sensitive or the bot does not know. Here is how the handover works and what to do. Who it's for: agents who work alongside an AI agent. Screen: your inbox. Before you start - This applies if you have an AI agent connected to your channel. If you handle everything with people only, you don't need it. - Whoever administers the account sets up when the handover triggers. As an agent, what you need to know is how to recognize it. How it works When someone writes something like "I want to talk to a person", "agent" or "support", three things happen at once: 1. The conversation is marked with a label that switches the bot off. From then on the AI agent doesn't reply again in that conversation. 2. It's assigned to the relevant team. 3. They get an email alert so nobody depends on watching the screen. You can also do it by hand at any time: apply that same label and the bot goes quiet. Steps 1. The alert reaches you, or you see the conversation appear in your inbox. 2. Open it and read upwards. The bot has already talked to that person: it has context, details and sometimes the problem half solved. Starting from scratch is the fastest way to annoy someone who has already explained everything once. 3. Introduce yourself. Let them know there's now a person on the other side. 4. Handle it as normal. The bot won't interrupt you. 5. When you finish, Resolve («Resolver»). What you see when you're done The conversation is resolved and keeps the label, so in the reports you can see how many times a person was needed. That number is useful: if it rises a lot, the bot needs to learn something new. Outside service hours The bot keeps handling what it can. If someone insists on talking to a person in the middle of the night, it replies with your service hours so they know when to expect an answer. The conversation is still assigned and waits for you in the morning, with its email alert. It doesn't get lost. If something goes wrong - The bot replied once more after the handover: it can happen if it was already writing its reply at that very moment. It's not serious; carry on from there. - Nobody received the email alert: check that the team has valid email addresses and that the alert is set up in the rule. - The bot keeps replying: the label wasn't applied. Apply it by hand in the panel on the right. - The conversation arrived but wasn't assigned to anyone: which team it goes to hasn't been set up, or that team doesn't have automatic distribution. When to ask 24/7 Support for help If the customer asks for a person and nothing happens, if the bot keeps replying with the label applied, or if the email alerts never arrive. 24/7 Support: https://whatsappmarketing.zendesk.com/hc/es
